Chart of Accounts - Errors

It's really important to remove any errors from your Chart of Accounts because they can lead to inaccurate reports and problems with your year end postings. When you run the Check option from the Edit Chart of Accounts window, your software looks at the chart of accounts and makes sure that no errors are present. If no errors are detected, the No errors found in this chart of accounts message appears and you can continue to use your Sage accounts software.

If a Chart of Accounts Errors window appears, one or more errors have been detected. To send the report to your selected output, click Run. The most common error messages on the report are described below.

Note: This routine does not verify the placing of a nominal code within a category. For example, if you have entered a sales nominal code within a Balance Sheet range, it is not noted on the Chart of Accounts Errors report.


The following ranges overlap onto each other

The low number, the high number or both of the category account ranges fall within another category account range.

For example:

Export Sales A and B overlap the Product Sales category account range.

One of the following ranges is enclosed within the other range

The low and high numbers of one category account range fall within the low and high numbers of another.

For example:

Export Sales A are within the first category account range, while Export Sales B both overlap and are within the Product Sales category.

Nominal code not represented in chart

You have created a new nominal code in the nominal ledger but it does not fall within an existing category account range in your chart of accounts. Or your Chart of Accounts has been edited to remove codes which were previously included.

You need to edit the chart of accounts and create a new account category range or amend an existing one to include the new nominal code. For further information about how to do this, refer to To edit a chart of accounts layout.


Nominal code has been used as part of one "floating" category, but not as part of the equivalent "floating" category in Current Assets/Current Liabilities

You have a nominal code included in one floating category but not in the other. For example, you have the nominal code set up in current assets but not in current liabilities.

When a nominal code is included within one of these category account ranges in both current assets and current liabilities, your software decides which category to include it in depending on whether the code has a debit or a credit balance.

You need to edit the chart of accounts and include the nominal code in both floating categories. For further information about how to do this, refer to To edit a chart of accounts layout.


The following "floating" category range in Current Assets  has no matching range in Current Liabilities

The floating category range that is entered within the Current Assets and the Current Liabilities must be the same. For example if you have entered the Bank Account Range as 1200 - 1209 in the Current Liabilities, you must also enter the same range (1200 - 1209) in the Current Liabilities.
